Privacy Policy

How we collect, use and share personal data — including business contact details we obtain from commercial data providers rather than from you directly — and the rights you have over it.

Dynamics Synergy is a business-to-business consultancy implementing and supporting Microsoft Dynamics 365. This policy covers dynamicssynergy.com and our other web properties, our email and marketing systems, and the personal data we hold about prospective clients, clients, event attendees and website visitors.

It sits alongside our anti-spam and permission policy, which sets out how we do and do not advertise our services through messages.

Personal data we collect

Information you give us

When you complete a form on our website, register for an event or webinar, request a document or assessment, reply to one of our messages, or engage us as a client, we collect what you provide. Typically, this is your name, business email address, telephone number, job title, employer, and whatever you tell us about your organization's systems and requirements.

 
Information we collect automatically

When you visit our website we collect your IP address, device and browser type, pages viewed, referring page, and the dates and times of your visit. Where you have consented to non-essential cookies, we also collect analytics and, if applicable, advertising identifiers. See section 6.

When we send you an email from our marketing system, that message may record whether it was opened and which links were clicked, using a small tracking image and tagged links. We use this to judge whether our communications are relevant and to stop sending to people who are not interested. You can prevent it by blocking remote images in your email client, and blocking it has no effect on your ability to correspond with us.

Information we obtain from other sources

We obtain business contact information — name, job title, business email address, business telephone number, employer, and firmographic details such as industry, headcount and technology in use — from commercial business-data providers, such as ZoomInfo. We also use information that is publicly available on professional networking sites and company websites, and referrals from Microsoft and other partners.

If we contacted you and you have never heard of us, this is where your details came from. You are entitled to know the source, to object to our use of the data, and to ask us to delete it. Write to privacy@dynamicssynergy.com and we will action it and confirm.

We do not collect special category data, financial account data, or information about children through our marketing. Our services are directed at businesses, not consumers, and not at anyone under 18.

2. Why we use it

We use personal data for the purposes below. Where UK or EU law applies, the legal basis we rely on for each is given alongside it.

  • Contacting business prospects about services relevant to their role — our legitimate interest in promoting the business, weighed against the limited intrusion of a message sent to someone in a business capacity, and the opt-out offered in every one.

  • Responding to enquiries and providing materials you ask for — steps taken at your request before entering a contract.

  • Delivering and supporting our services to clients — performance of a contract.

  • Newsletters, event invitations and service updates — your consent, or an existing business relationship where the law permits it.

  • Website analytics and advertising — your consent.

  • Maintaining suppression and opt-out records — our legal obligation to honour opt-outs, and our legitimate interest in not contacting you again.

  • Security, fraud prevention and defending legal claims — our legitimate interests.

 

Where we rely on legitimate interests, you can object. See section 8.

We do not make decisions producing legal or similarly significant effects about you by automated means.

3. We do not sell your personal data

We do not sell personal data, and we do not disclose it to third parties for their own marketing purposes.

4. Who we share it with

We share personal data with service providers who process it on our behalf, under contract, and only on our instructions:

  • Microsoft — our CRM, marketing automation, email and productivity platforms

  • Commercial business-data providers — for the contact data described in section 1

  • Email delivery and outreach platforms

  • Our website platform and forms provider

  • Professional advisers — accountants, lawyers, auditors, where necessary
     

We also disclose personal data where we are legally required to, and to a buyer or successor if our business is sold or reorganized. A current list of our processors is available on request.

5. International transfers

We operate from the United States of America and serve clients principally in the United States and Canada. Personal data may be processed in countries other than your own, including the United States. Where data protected by UK or EU law is transferred outside those territories, we rely on the UK and EU standard contractual clauses or another approved safeguard. A copy of the relevant safeguard is available on request.

6. Cookies

Our website uses cookies that are strictly necessary for the site to function, and — with your consent — cookies for analytics and advertising. You can accept, reject or change your choices at any time through the cookie settings on our website, or by adjusting your browser. Rejecting non-essential cookies does not prevent you using the site.

7. How long we keep it

  • Prospect contact data — reviewed periodically and deleted where there has been no engagement over a sustained period

  • Client records — for the duration of the relationship and afterwards as long as needed for contractual, tax and legal purposes

  • Website analytics — kept indefinitely.

  • Suppression and opt-out records — kept indefinitely. This is deliberate: it is the only reliable way to guarantee we never contact you again. These records hold the minimum needed to recognize and exclude you, and nothing more.

 

8. Your rights

Depending on where you live, you may have the right to:

  • Know what personal data we hold about you and obtain a copy

  • Know where we obtained it, if not from you

  • Have inaccurate data corrected

  • Have your data deleted

  • Object to our use of it for marketing — this one is absolute, and we will always action it

  • Object to or restrict other processing based on legitimate interests

  • Receive your data in a portable format

  • Withdraw consent at any time, without affecting what we did before you withdrew it

  • Opt out of the sale or sharing of personal data, and of targeted advertising

  • Not be discriminated against for exercising any of these rights

 

To exercise any of them, write to privacy@dynamicssynergy.com. We respond within the period the applicable law requires, and in any event within 30 days. We may need to verify your identity first; if an authorised agent contacts us on your behalf, we will ask for proof of their authority. If we refuse a request we will tell you why and how to appeal.

If you are unhappy with how we have handled your data you may complain to your supervisory authority — in the UK the Information Commissioner's Office, in the EU your national authority, in Canada the Office of the Privacy Commissioner. We would rather you raised it with us first.

 

9. Security

Personal data is held in access-controlled business systems, principally Microsoft cloud services, with multi-factor authentication and access limited to staff who need it. No system is perfectly secure, but we take reasonable and appropriate measures to protect your data and will notify you and the relevant authority of a breach where the law requires.

 

10. Changes

We review this policy at least annually. Material changes are published here with a revised version number and effective date, and where the change is significant we will tell affected individuals directly. Previous versions are available on request.
