Anti-spam and permission policy

Dynamics Synergy does not advertise this website, or any Dynamics Synergy service, through unsolicited bulk messages — and does not permit anyone else to do so on our behalf.

This policy governs every commercial message sent by Dynamics Synergy, by our employees and contractors, and by any agency, vendor or partner sending on our behalf. It applies to email, messaging platforms, social networks and SMS, and it applies regardless of which domain or tool the message is sent from.

1. Prohibited practices

The following are prohibited without exception. They apply to everyone acting for or paid by Dynamics Synergy.

  • Unsolicited bulk messaging. Sending, commissioning or paying for bulk or mass-distributed commercial messages that advertise, link to or promote this website or any Dynamics Synergy service.

  • Third-party promotion. Permitting any affiliate, reseller, lead vendor, agency or other third party to advertise this website through messages we have not reviewed and authorised. Dynamics Synergy operates no affiliate or referral-commission programme and pays no one on a per-response basis.

  • Falsified identity. Forged or misleading headers, sender names, return paths, reply-to addresses or originating domains. Every message identifies Dynamics Synergy as the sender and uses a working, monitored reply address.

  • Deceptive subject lines. Subject lines that misrepresent the content, the sender, or an existing relationship that does not exist.

  • Harvested or generated addresses. Using addresses obtained by scraping websites, harvesting, dictionary attacks, address generation, or acquired from sources that cannot evidence lawful collection.

  • Ignoring an opt-out. Sending any further commercial message to a person or address after an opt-out, complaint, or hard bounce.

  • Evading filters or blocks. Rotating domains, addresses or infrastructure to circumvent a spam filter, blocklist or recipient-side block.
     

Breach of this policy by an employee or contractor is a disciplinary matter. Breach by a vendor or partner is grounds for immediate termination of the engagement.

2. What we do send​

Dynamics Synergy is a business-to-business Microsoft Dynamics 365 consultancy. We send two kinds of commercial message, both to named individuals in a business capacity at organizations in our market:

Direct business correspondence

Individually addressed messages to a named business contact about a specific, relevant business matter. These are sent in limited volume, are not mass-distributed, and are not sent to consumer addresses. Everyone identifies the sender and the company, states a postal address, and offers a direct way to decline further contact.

Marketing communications

Newsletters, event invitations and service updates sent only to people who have an existing business relationship with us, who requested the material, or who registered for an event or download. We do not load purchased or prospecting lists into our marketing automation platform. Every marketing message carries a one-click unsubscribe link.

In both cases a request to stop is honoured immediately on receipt, and in all cases within three business days — without requiring the recipient to explain, log in, or take any further step.

3. Where our contact data comes from

Business contact information is licensed from established commercial data providers that represent their collection as lawful, or is collected directly from our own website forms, events and client relationships. We do not scrape, harvest, purchase "opt-in" consumer lists, or generate addresses. We do not rent, sell, trade or transfer our contact data to third parties for their own marketing.

4. How we send

Marketing and automated communications are sent from a dedicated marketing subdomain, kept separate from the domain used for ordinary business correspondence, so that the two carry their own reputation and can be assessed independently. Every Dynamics Synergy sending domain publishes SPF, DKIM and DMARC records. A message that fails authentication against those records did not come from us, and we would be glad to receive it under section 7.

A first message to someone we have not corresponded with before does not link to this website. Links to dynamicssynergy.com appear once a recipient has replied, asked for information, or otherwise chosen to engage. We do not rotate domains, addresses or sending infrastructure to work around a filter or a block. Where a mailbox provider signals a problem with our mail, we reduce or stop sending to it and investigate, rather than routing around the signal.

5. Suppression

We maintain a single suppression list applied across every Dynamics Synergy domain, brand and sending system. An opt-out recorded against one domain or campaign suppresses the address everywhere. Suppression records are retained permanently for this purpose and are not deleted when other data is purged. Complaints received through feedback loops, abuse reports and blocklist notifications are added to the same list.

6. Legal framework

We send in accordance with the CAN-SPAM Act (United States), Canada's Anti-Spam Legislation, and — where recipients are in scope — the UK and EU GDPR and the Privacy and Electronic Communications Regulations. Where the applicable law of a recipient's jurisdiction is stricter than this policy, that law governs.

This policy sits alongside our privacy policy, which describes how personal data is handled. This document deals specifically with how we do and do not advertise our website and services.

7. Report a message

If you have received a message advertising this website that you believe breaches this policy — including a message sent by someone claiming to represent us — report it to abuse@dynamicssynergy.com.

Please include the full message headers and the message body. Headers let us identify the true sender, which is the difference between us being able to act and not. We acknowledge every report within two business days and confirm what action we have taken.

Blocklist operators, abuse desks and mailbox providers may use the same address and will receive a substantive reply from a named person.
